Bring an agent into a meeting
Let an agent join Google Meet, Microsoft Teams, or Zoom calls as a listen-only participant and turn the transcript into notes.
An agent can join your Google Meet, Microsoft Teams, and Zoom calls. It listens, writes a live transcript and notes, and reports the outcome in its conversation. For a product overview, see An AI agent in your meetings.
What the agent does in a call
- It appears in the call as Agent name · d5s.
- It only listens. It never speaks and records no audio. It keeps only the transcript.
- It writes nothing in the meeting chat.
- After the call, the transcript stays in d5s.
Tell the participants that the call is transcribed. Make sure that your retention policy allows it.
Before you start
- You need permission to run the agent.
- The meeting host must admit the agent from the waiting room.
- Transcription, notes, and private questions use credits. The agent's daily budget applies.
Bring the agent into a call now
- Open the agent. Select the phone icon in the agent's sidebar to open Calls.
- Select Join call.
- In Meeting link, paste the Meet, Teams, or Zoom link.
- Select Join as listener. The status shows Waiting for host.
- Admit Agent name · d5s in the meeting.
The status changes to In call, and a Live section shows the call.
Join calls from your calendar
The agent can join Google Meet calls from your Google Calendar.
- In Calls, open Auto-join.
- Select Connect Google Calendar.
- In Join meetings, choose a rule: Manually selected, All accepted meetings, Only meetings I organize, or only meetings where the agent is invited. The invited rule needs an email address for the agent.
- For Manually selected, turn on the switch for each meeting. Select Join now to join a meeting at once.
Add the agent's meeting address from Auto-join as a guest when possible. A host outside your organization can still need to admit the agent.
Follow the call
- Select a live call to open its meeting view. It shows live notes and the live transcript.
- The agent updates the notes about once a minute. A person with edit permission can select Edit to change the notes, then Done.
- Select Add to notes on a transcript line to copy it to the notes.
- Type a private question in the box under the transcript. Only you see the answer. Nothing is spoken or posted in the call.
- Select Leave call to make the agent leave.
The agent leaves on its own after 10 minutes with no speech.
After the call
The agent adds a Call complete card to its conversation. The card shows the title, duration, and a short outcome. Select Open notes or View transcript. The notes are saved to the agent's Files.
The After each transcript line in Calls tells the agent what to do with each transcript. By default, the agent posts a short outcome and asks before it takes action. Select Edit to change this instruction. The instruction does not give the agent new permissions.
If something goes wrong
- Not admitted or Declined by host: the host did not admit the agent. No transcript was captured.
- No one joined: nobody spoke during the call.
- Left empty room: the agent heard no one for 10 minutes. d5s keeps the transcript up to that point.
- Call failed: the meeting service failed. Try again with Join call.
- A link error: copy the full HTTPS meeting link from the invitation.
